Frequently Asked Questions
-
We are open from 8 am-7 pm by appointment only. We respond to calls from 8:00 am – 6:00 pm M-Th and 8am-3pm on Fridays. Please speak to your provider about their direct availability.
-
If it is necessary to cancel an appointment, you must cancel at least 24 hours before your scheduled appointment time.
A $125 late cancellation fee will be charged if we are not notified at least 24 hours before your scheduled appointment.
A $150 no-show fee will be charged if we do not receive notification before your scheduled session time.
Your appointment time is reserved exclusively for you. Because therapists are often unable to refill an appointment on short notice, late cancellations and no-shows leave time that could have been offered to another client while also impacting the therapist's scheduled workday.
If your appointment is scheduled for a Monday, please email or leave a voicemail over the weekend to notify us of your cancellation.
If you have any questions about this policy or the rationale behind it, please feel free to ask your therapist.

As a small, insurance-based, fee-for-service practice, we provide services first and submit a session claim promptly directly to your insurance company. Once your insurance processes the claim, it determines whether any client responsibility remains, such as a copay, deductible, or coinsurance.
Any remaining client responsibility is then automatically charged to the secure payment method on file in accordance with the financial policies reviewed and signed before treatment begins.
-
Because insurance determines coverage and client responsibility after a claim has been processed, our standard policy is to maintain a secure payment method on file before services begin. This allows us to process any remaining balance identified by your insurance company in accordance with the financial policies you reviewed and signed before treatment.
Your payment information is stored securely within our encrypted, HIPAA-compliant medical client portal.
-
Charges are not processed until your insurance company has processed the claim and determined whether any client responsibility remains.
The timing of this process is determined entirely by your insurance company and may vary depending on your plan and how quickly claims are processed. For this reason, a charge may not occur immediately after your appointment so we encourage you to plan accordingly and contact your insurance directly for additional status and amount due information.
-
Your insurance company plan, not Mind Matters Collective will determine your behavioral health benefits, deductible, copay, coinsurance, authorization requirements, and any remaining financial responsibility.
We encourage all clients to please contact their insurance company before beginning services to verify their behavioral health benefits and ask about any anticipated out-of-pocket costs.

A superbill is a detailed receipt that summarizes the mental health services you received and includes the billing and diagnostic codes recognized by insurance companies. It is commonly used when working with an out-of-network provider.
If you have out-of-network benefits, you may request a superbill from our office to submit directly to your insurance company for possible reimbursement. Please note that reimbursement is determined solely by your insurance plan, and we cannot guarantee coverage or payment. We encourage you to contact your insurance company to verify your out-of-network behavioral health benefits before beginning treatment.
If you have questions about requesting a superbill, please contact our billing team, we are happy to assist.

Not always and that is an important part of ethical mental health care.
Our therapists each have unique training, experience, and areas of specialization. While all of our clinicians provide evidence-based care, no therapist can ethically consider themselves an expert in every concern or level of clinical need.
If, during the referral, consultation, or intake process, we determine that your primary concerns would be better supported by a clinician with more specialized experience or a different level of care, we consider it our professional and ethical responsibility to share that recommendation. Whenever possible, we will provide community referrals and additional resources to help connect you with the care we believe is the best fit for your needs.
Our goal is never simply to fill an appointment, it is to help you access the most appropriate, timely, and individualized care available. If you have questions about a recommendation or would like assistance navigating available resources, our team is here to assist that process.

The length of therapy depends on your individual needs, goals, and circumstances. Every client's journey is different. Together, you and your therapist will determine a frequency of sessions that best supports your current concerns and treatment goals.
In general, we recommend beginning with more consistent visits during the initial assessment and information-gathering phase to build momentum. As you make progress to your personal goal(s), you and your therapist will regularly evaluate your goals and adjust the frequency of sessions accordingly.
Mental health is not the absence of stress, setbacks, or difficult emotions, those are a natural part of life. Rather, it is the ability to navigate life's challenges with greater awareness, inner security, and confidence. Therapy is often complete not when life becomes perfect, but when you feel equipped with the insight, skills, and support needed to manage future challenges with confidence and independence.
